What is attendance software?

Attendance Software is a business application which captures employee attendance data from different locations, enables managers to monitor employee availability in real-time, assigns employees to different shift schedules and summarizes the employee attendance data to provide a periodical input to the payroll system. The Attendance Software also enables employees to view their own attendance, overtime, shift schedules, holidays, weekly offs and make requests to their managers to correct attendance when necessary.

What is attendance tracking?

Attendance tracking is the process of identifying the time an employee reported to work, the locations he visited during his work time, the duration he spent at each location, and the time at which he left for the day. Attendance tracking ensures that employees are where they are supposed to be. Time Attendance Devices and GPS are used to track employees.

What is the purpose of an attendance system?

The purpose of an attendance system is to ensure that employees are reporting to work on time, leaving work as per plan, and spending their time at the sites where they are supposed to be. An attendance system enables managers to monitor real-time employee availability, shift wise employee strength, tardiness, and so on.

How does the Attendance Software automate data processing?

Time Attendance Devices communicates with the Attendance Software in real-time. This enables the Attendance Software to generate fully automated real-time reports for the Management. The raw data received from Time Attendance Devices are processed with the pre-defined company policies to generate information meaningful to the organization. The attendance system is integrated with the payroll software to enable fully automated payroll processing.

How does the Attendance Software work along with the Leave Management Software and the Shift Management System?

The Shift Management Software assigns work times and weekly offs against each employee. The employee can raise a leave request to modify his work plan with a leave; but this is subject to approval. When an employees fails to report to work, the attendance system marks the day as Absent. If the company policy allows, employee can raise a request to convert absence to a leave. Thus the Attendance, Leave and Shift Management software work together to ensure that the data is accurate enough to be integrated with payroll.

Time Attendance Software

I’m using Excel to process payroll for all my employees. How difficult it is to migrate to the Attendance Payroll Software?

Migration is to be done only once. You will have to copy your Attendance and Payroll formulae from excel to the software and then you will be able to process payroll for all your employees. This is required only once, the second month onwards, the software will process the data without any manual intervention.

How do my employees correct their own attendance? For eg; instead of coming to office, an employee went for a client visit, as instructed by his manager.

When an employee is on a client visit or working from home, he can use the Employee Self Service App to report attendance online. If the employee is not allowed to do online punching, he can raise a regularization request to correct his attendance. This gets effective on approval from his manager.
